HOA Management Frequently Asked Questions

Question 1

What is a Homeowners Association (HOA)?

Accepted Answer

A Homeowners Association (HOA) is an organization in a subdivision, planned community, or condominium building that makes and enforces rules for the properties and its residents. Those who purchase property within an HOA's jurisdiction automatically become members and are required to pay dues.

Question 4

Question 5

What types of communities does Robson Property Management manage?

Accepted Answer

Robson manages a wide range of community associations, including single-family HOAs, master-planned communities, condominium associations, townhome communities, sub-associations, mixed-use developments, and developer-controlled communities. We tailor support to each community's size, structure, and governing documents.

Question 6

What areas does Robson Property Management serve?

Accepted Answer

Robson serves HOA boards, developers, and community associations across Oklahoma, Arkansas, and Missouri. We are headquartered in Broken Arrow, Oklahoma, and manage communities throughout the region.

Question 7

What is the difference between HOA management and property management?

Accepted Answer

HOA management supports the community association as a whole — its finances, common areas, governance, and operations. Property management for individual rental homes typically involves tenant placement, rent collection, and unit-level maintenance. Robson focuses on HOA and community association management, not individual rental properties.

Question 8

Is Robson Property Management fully insured?

Accepted Answer

Yes. RPM maintains comprehensive professional liability, general liability, and fidelity insurance coverage to protect both our firm and the communities we serve.

Question 9

What makes Robson Property Management different from other HOA management companies?

Accepted Answer

Robson combines more than 37 years in business with a board-education philosophy centered on "teach, not tell." Our team includes managers with PCAM®, AMS, and CMCA® credentials, and we focus on helping boards understand the financial, operational, and governance issues behind the decisions they make. The goal is not simply to manage tasks, but to give boards clearer information, stronger systems, and dependable support over time.

Question 10

Does Robson Property Management manage individual rental properties?

Accepted Answer

No. Robson Property Management specializes in HOA and community association management. We work with HOA boards, developers, and community associations rather than managing individual rental homes or investment properties.

Question 11

What does an HOA management company do?

Accepted Answer

An HOA management company should give the board a reliable operating system for the association. At Robson, that means helping organize financial reporting, vendor coordination, maintenance follow-up, homeowner communication, records, covenant administration, and board-approved action items so responsibilities do not depend on whichever volunteer has time that week. The board still governs the community; management provides the structure, continuity, and follow-through needed between meetings.

Question 12

What is included in full-service HOA management?

Accepted Answer

Full-service HOA management covers the day-to-day operations of a community association — financial management, board support, homeowner communication, vendor coordination, covenant enforcement, maintenance oversight, and administrative records. It gives boards a single point of contact for the operational responsibilities that keep a community running.

Question 13

Can an HOA be self-managed?

Accepted Answer

Yes, and some associations do it successfully. The challenge is usually not one task, it is the accumulation of bookkeeping, vendor coordination, maintenance follow-up, homeowner communication, records, collections, and enforcement. After more than 37 years in business, Robson has seen boards become overwhelmed when too many operational responsibilities fall on a few volunteers. Professional management can help move those responsibilities into a consistent system while allowing the board to remain focused on governance.

Question 14

When should an HOA hire a professional management company?

Accepted Answer

One of the clearest signs is when board meetings become working sessions for unresolved operational issues instead of decision-making meetings. If financial questions take too long to answer, maintenance items keep carrying over, homeowner communication depends on individual board members, or one volunteer is handling most of the workload, the association may need a more durable management structure. Robson's role is to bring organization and continuity before board burnout becomes the reason for making a change.

Question 15

Are HOA management companies worth the cost?

Accepted Answer

Robson believes the value of management should be measured by how much better the association operates, not simply by the number of tasks listed in a contract. Professional management should give boards clearer financial information, better follow-through, organized records, reliable vendor coordination, and continuity as board members change. If management does not make the board's work more organized or reduce the operational burden on volunteers, the value is harder to justify.

Question 16

Can an HOA change management companies?

Accepted Answer

Yes, but the transition should be managed as carefully as the contract change itself. Robson focuses on continuity because a management transition can involve financial records, homeowner balances, vendor contracts, governing documents, violation histories, open maintenance items, passwords, and pending board decisions. A strong transition should give the incoming management team and board a clear picture of what is complete, what is still open, and what needs attention next.

Question 17

What are signs that an HOA management company may not be performing well?

Accepted Answer

Robson encourages boards to look for patterns rather than isolated mistakes. Repeatedly chasing financial reports, unclear task ownership, unresolved vendor issues, poor recordkeeping, slow follow-up, or board members routinely stepping back into responsibilities they expected management to handle can all signal a problem. Good management should reduce operational friction over time and give the board more confidence in the association's systems, not create another layer of work.

Question 18

What does an HOA management company handle for the board?

Accepted Answer

The board makes governance decisions; management handles much of the operational execution behind them. At Robson, that can include financial reporting, assessment administration, vendor coordination, maintenance oversight, homeowner communication, record management, covenant administration, architectural requests, and board meeting support. The distinction matters because Robson's goal is not to replace the board's authority, but to give board members better information, organized systems, and reliable follow-through.

Question 19

How does an HOA board choose the right management company?

Accepted Answer

Robson recommends asking operational questions, not just comparing proposals. Who will actually manage the community? How are open tasks tracked? What happens when a manager is unavailable? How often are financials delivered and reviewed? How are vendors evaluated? How does the company support new board members? The right fit is usually the management company whose systems, communication style, and level of support match the complexity and expectations of the association.

Question 20

What is the difference between the HOA board and the management company?

Accepted Answer

The board governs the association; the management company supports and carries out the board's approved direction. Robson is intentional about keeping that distinction clear. Management can prepare information, coordinate vendors, administer established processes, maintain records, and make recommendations, but the board retains the authority assigned to it under the governing documents. A strong management relationship works best when both sides understand where governance ends and operational execution begins.

Question 21

Why is continuity important in HOA management?

Accepted Answer

Associations can lose valuable institutional knowledge when information lives with individual board members instead of within organized systems. Robson's emphasis on records, financial processes, vendor history, documented decisions, and consistent administration helps preserve that knowledge as boards change. After more than 37 years in business, we have seen how much stronger communities operate when each new board inherits an organized history instead of having to rebuild it from scratch.

Question 22

How does Robson support new HOA board members?

Accepted Answer

New board members often inherit responsibilities without much context. Robson helps them understand the association's financial position, open projects, governing documents, vendor relationships, current priorities, and existing processes so they can contribute more confidently. This is part of our "teach, not tell" approach and helps preserve continuity when volunteer leadership changes.

Question 23

How does Robson help boards with financial transparency?

Accepted Answer

Robson's financial process is designed to help boards understand the association's position, not just receive reports. We organize financial information so board members can see budget performance, expenses, assessment activity, outstanding balances, and upcoming financial needs more clearly. Regular review gives boards an opportunity to ask questions before making decisions rather than discovering problems after the fact.

Question 24

How does an HOA management company help with covenant enforcement?

Accepted Answer

Robson uses a "teach, not tell" approach whenever possible. The goal is not simply to send a violation notice, but to help the homeowner understand the applicable guideline, why the issue was identified, and what is needed to resolve it. A documented third-party process also helps boards avoid becoming personally involved in neighbor-to-neighbor disputes while maintaining consistency from one board term to the next.

Question 25

Does an HOA management company handle budgeting and financial reporting?

Accepted Answer

Yes, but Robson believes financial reporting should do more than produce a monthly packet. Board members need to understand what the numbers mean, whether the association is tracking against budget, where expenses are changing, what assessments remain outstanding, and what future costs may require planning. Our goal is to give boards financial information they can actually use, even if the members themselves do not have accounting backgrounds.

Question 26

Does Robson provide maintenance coordination for HOAs?

Accepted Answer

Yes. Robson helps coordinate common-area maintenance, vendor scheduling, inspections, repairs, and ongoing oversight for association-maintained assets. The goal is to keep shared spaces in good condition and help boards address maintenance concerns before they become larger expenses.

Question 27

Does Robson work with developers and new communities?

Accepted Answer

Yes. Robson works with developers and declarant-controlled boards to manage community associations during the development process, including financial setup, homeowner onboarding, vendor coordination, and preparing for eventual transition to homeowner leadership.

Question 28

Does Robson provide on-site HOA management?

Accepted Answer

Yes. For larger or amenity-rich communities, Robson provides dedicated on-site management professionals who work directly within the community to oversee daily operations, vendor activity, and board priorities.

Question 29

How does a board request a management proposal?

Accepted Answer

Boards can request a proposal through our contact page or by calling our office directly. Robson will learn about your community's needs, governing documents, and current operations before providing a management proposal tailored to your association.

Question 30

Does RPM manage major capital improvement projects?

Accepted Answer

Yes. RPM provides oversight for major repairs, special projects, and community upgrades, including coordination of vendors, schedules, budgets, and project follow-through.

Question 31

Do you require associations to use your specific contractors?

Accepted Answer

No. RPM may recommend or help evaluate qualified vendors, but the final choice of contractor rests with the board. Vendors are reviewed for quality, insurance, and applicable qualification requirements.

Question 32

How do I pay my HOA dues?

Accepted Answer

You can pay your HOA dues through our secure online resident portal. Once logged in, you can set up one-time payments or automatic recurring payments. We also accept checks mailed to our main office.

Question 33

How often are property inspections conducted?

Accepted Answer

Regular inspections are a cornerstone of our service. Frequency is tailored to your community's specific needs, but we emphasize proactive site visits to identify maintenance needs and ensure covenant compliance before issues escalate.

Question 34

What do my HOA assessments cover?

Accepted Answer

HOA assessments typically help fund common-area maintenance and insurance, administrative expenses, management services, and reserve funds for future repairs or replacements. The exact use of assessments depends on the association's budget and governing documents.

Question 35

How do I submit an Architectural Control Committee (ACC) request?

Accepted Answer

Exterior modifications that require approval can be submitted through the resident portal. Homeowners should include the plans, dimensions, materials, and other information required by their association.

Question 36

How do I report a maintenance issue in a common area?

Accepted Answer

Maintenance issues can be reported through the resident portal using the 'Work Order' or 'Maintenance Request' feature. For urgent emergencies regarding common areas, please call our main office directly.
